Dropbox Files Not Syncing? Check the Web Copy, Device and Sync State

Locate a missing Dropbox file without deleting a local edit. Separate account, selective-sync, online-only, permission and conflict problems, then test the actual file path.

Dropbox official Windows tutorial showing the Selective Sync folder checklist.

Dropbox’s Windows tutorial shows which folders appear on one computer. Review this device’s selection; this example does not prove that its file contents have synchronized.

Start with one affected file: identify the signed-in account, find its current copy on dropbox.com, and compare that copy with the computer showing the problem. A missing folder, an online-only placeholder and an upload error require different fixes. Preserve any local edit that has not reached the website before reinstalling, unlinking or replacing files.[1]

This guide covers the Dropbox desktop app on supported Windows and Mac computers, with web checks that also help distinguish a permissions problem. Controls and icons can vary by operating system and sync engine. The genuine vendor tutorial image illustrates a folder-selection control; it does not demonstrate that your files have synchronized.[5][7]

Determine which copy is missing or out of date

Record the account email, full folder path, filename, approximate last edit and exact error. When personal and work accounts are connected, a familiar folder name is not enough to identify the correct account. Search the web account before assuming the desktop app has deleted anything.[1]

Use a non-sensitive test file only in a folder where the owner authorizes a test. Do not upload a second copy of a confidential document to a personal account merely to compare behavior. If the web item itself is missing, the companion recovery guide explains how to investigate moves and deletions.[1]

Read the app status and folder settings together

Click the Dropbox icon in the Windows taskbar or Mac menu bar. Read the status at the bottom of the app window. A paused state needs Resume; indexing means preparation is still underway; an unable-to-sync count offers See issues. Write down the actual file error instead of repeatedly restarting an apparently busy app.[2]

On Windows, open the account menu, Preferences, then Sync. Under Selective Sync, choose Modify. On Mac, the comparable setting is Select folders to sync to this Mac. Inspect the selection first and change only the intended folder. Selective-sync choices belong to that computer; they do not select the same folders on every device.[3]

Selective sync and online-only solve different storage problems

Delete an online-only itemDeletion propagates through DropboxDeleting is not the way to free only local storage.

For a required offline file, right-click it inside the Dropbox folder and choose Make available offline. Allow the download to finish and test the file before relying on it without a connection. Do not infer availability from one icon color alone: Windows Cloud Files and legacy Dropbox use different icon sets.[4][5]

Fix the specific blockage without discarding an unsynced edit

Save and close the editing application, keep Dropbox running, and confirm connectivity, device time, local disk space and account quota. Check whether the file is actually inside the correct Dropbox folder. A file left in Downloads will not become synchronized just because a different copy with the same name exists online.[1]

If the app identifies one failed file, inspect its name, lock/read-only state and application usage. Temporary application files and unsupported items are different from ordinary documents waiting to upload. Review security or proxy restrictions with the administrator when the message points there; do not disable protection as a routine sync test.[1]

When two edited versions exist, keep both until their content is compared. Dropbox creates conflicted copies after overlapping or offline edits, and its documented resolution is to compare and merge them. A later timestamp or a filename containing conflicted copy does not decide which business content is correct.[6]

A folder marked selective sync conflict is a separate same-name-folder problem. Record that exact wording for support rather than treating it as the document-edit conflict described above. If an encrypted team folder is waiting for access after sign-in, involve the team administrator instead of attempting to bypass its controls.[1][8]

Worked example: the laptop is missing a project folder

An employee can open the current project PDF on dropbox.com, but the folder is absent in File Explorer. The desktop app says files are up to date. The next useful check is that laptop’s selective-sync selection, not a password reset or cloud restore. If the folder is unchecked, selecting it restores that device’s local view; the employee still needs enough space and time for the required content.[2][3]

If the folder appears but the PDF is online-only, making just that document available offline may meet a travel requirement without downloading an entire archive. If the web account cannot open the folder, stop this device-storage branch and confirm the invitation, signed-in identity and access with the folder owner.[1][4]

Prove the required upload and download paths

  1. Open the intended file on the website and inspect an identifiable approved edit, not only its name.
  2. Where authorized, save a small change to a non-sensitive test file in the affected desktop folder.
  3. Wait for the app status to settle, then verify that change on the website.
  4. Make a separate approved change through the normal web or second-device workflow and confirm it reaches the affected computer.
  5. If offline work is required, download the chosen file and test opening it after the download completes.

Record which direction passed, which folder was tested and whether the original failed file now works. Success with a small text file does not prove a large locked document or every team folder is healthy. Escalate with the exact error, account, path, app/OS versions and comparison results; use an approved channel for document samples.

Continue with the problem you actually found

If the website denies access, use the Dropbox folder and shared-link permissions guide. If content was moved, overwritten or deleted online, use Dropbox version and deletion recovery. Those paths preserve the distinction between a missing local view and missing cloud content.

For scanned PDFs, Acrobat OCR and text verification helps confirm that the synchronized document contains usable text. Application and account support is available through Dropbox Support and Software Support.

Frequently asked questions

Why does Dropbox say up to date when a folder is missing from my computer?

Check the correct account and that computer’s selective-sync selection. A folder excluded from local sync can remain available on dropbox.com while the app has no pending changes for the folders it is syncing.

[2][3]

Does selective sync delete the folder from Dropbox?

No. Unchecking a folder removes its local copy from that computer while keeping the folder on dropbox.com. The setting is specific to that computer.

[3]

How is online-only different from selective sync?

Online-only keeps a visible placeholder in the Dropbox folder and downloads content when needed. Selective sync can remove an entire folder from that computer’s local view.

[3][4]

Can I open an online-only file without internet access?

Download it first by making it available offline, allow the download to finish, and test it before you disconnect. A placeholder alone does not provide the file contents offline.

[4]

Will deleting an online-only file free space only on this computer?

No. Deleting an online-only file deletes it across Dropbox. Use the storage controls when you want to remove only the downloaded local content.

[4]

Where do I find the reason one file will not sync?

Open the Dropbox desktop app and read its status. If it reports files that are unable to sync, use See issues to inspect the affected items and troubleshooting options.

[2]

Why are Dropbox sync icons different on two Windows computers?

They may use different sync engines, such as Windows Cloud Files and Dropbox legacy. Match the icon to the documented engine and inspect the app status instead of relying on color alone.

[5]

Should I delete a conflicted copy after the original finishes syncing?

Compare both versions first and merge the required changes. A conflicted copy can contain valid work from overlapping or offline edits.

[6]

Can a file stay unsynced because it is open in another application?

Yes. Some applications restrict access while a file is open. Save and close the application, then check whether the identified Dropbox issue clears.

[1]

What should I preserve before reinstalling Dropbox?

Identify local edits that have not reached dropbox.com and preserve them through an approved method. Record the account, path and error so a reinstall does not hide the cause or put the only current copy at risk.
